1. Who we are

Tracker Guard UK Ltd is the controller of personal data described in this policy. It covers our marketing website, enquiries, installation and support services, client portal, and the tracking services accessed through mobile and desktop devices.

Business customers may also be controllers of tracking information about their drivers, employees or customers. In those circumstances, we may process that information on the business customer’s instructions.

2. Information we collect

The information we use depends on how you interact with us and which service you choose. It may include:

  • Identity and contact details, such as your name, business, address, telephone number and email address.
  • Account and service details, including login records, selected plan, installation appointments, vehicle or equipment information and support history.
  • Billing records, such as invoices, payment status and transaction references. Payment providers may process card or bank details directly.
  • Tracking and activity data, including a connected asset’s location, routes, stops, timestamps, geofence events, alerts and related device status.
  • Technical information, such as IP address, device and browser type, app or portal logs, security events and diagnostic information.
  • Communications, including enquiries, feedback, call notes and correspondence with our team.

3. How we collect information

We collect information directly from you when you enquire, order, create an account, arrange an installation or contact us. Tracking devices and the client platform generate location, activity and technical data when the service is operating. A business, fleet operator, installer or other authorised account holder may also give us information about you.

Where we rely on legitimate interests, we consider the impact on your rights and do not use that basis where your interests override ours.

5. Tracking people lawfully

Location information can relate to a driver or another identifiable person. The account holder must make sure they have authority and a lawful basis to track the relevant vehicle or equipment, and must give drivers, employees and other people any privacy information required by law.

Our services must not be used for covert, unlawful or unauthorised monitoring.

6. Who we share information with

We may share information only where necessary with:

  • authorised installers and contractors helping us deliver or support the service;
  • hosting, tracking platform, communications, software and IT security providers;
  • payment, accounting and administration providers;
  • professional advisers, auditors and insurers;
  • the police, courts, regulators or other authorities where the law requires or permits it; and
  • a buyer or successor if our business or assets are reorganised or transferred.

We do not sell personal information. Suppliers are required to protect information and use it only for the agreed purpose.

7. International transfers

Some service providers may process information outside the UK. Where this happens, we use a lawful transfer mechanism, such as UK adequacy regulations or approved contractual safeguards, and take steps to protect the information. You can contact us for more detail about safeguards relevant to your data.

8. How long we keep information

We keep personal information only for as long as needed for the purpose for which it was collected, including service, security, dispute and legal requirements. Retention depends on the type of record:

  • account and tracking information is kept while the service is active and for a limited period afterwards;
  • financial and contractual records are kept for the period required by tax, accounting and legal rules;
  • enquiries and support records are kept for as long as needed to deal with the request and protect our legitimate interests; and
  • marketing preferences are retained so we can respect an opt-out.

We delete or anonymise information when it is no longer required.

9. Cookies and website data

Our main marketing site currently uses only the technology needed to display and operate the site. If we add non-essential analytics, advertising or similar cookies, we will explain them and ask for consent where required.

The separate client portal may use essential session and security technologies needed for sign-in and service operation.

10. Security

We use appropriate technical and organisational measures designed to protect information against loss, misuse and unauthorised access. No system is completely secure, so please use a strong, unique password and tell us promptly if you suspect unauthorised access.

11. Your rights

Depending on the circumstances, UK data protection law gives you the right to:

  • ask for access to your personal information;
  • correct inaccurate or incomplete information;
  • ask us to delete or restrict use of information;
  • object to processing based on legitimate interests or direct marketing;
  • receive certain information in a portable format;
  • withdraw consent at any time, without affecting earlier lawful use; and
  • raise a concern with the Information Commissioner’s Office.
Your right to object

You can object at any time to direct marketing. You may also object to processing based on our legitimate interests by explaining your circumstances.

To exercise a right, email Info@trackerguard.uk. We may need to confirm your identity. There is usually no fee, and we normally respond within one month, subject to the exceptions allowed by law.

You can complain to the Information Commissioner’s Office, although we would appreciate the opportunity to address your concern first.

12. Children

Our services are not directed at children. If tracking information relates to a child, the account holder must have the appropriate authority and comply with applicable safeguarding and data protection requirements.

We may update this policy as our services or legal obligations change. The latest version and update date will appear on this page.
